VicTouch is designed as an on-site kiosk for your volunteers. They use it to sign in and sign out, automatically recording their time as service. In addition to recording their in and out times, volunteers can check their schedules, see their past service, and receive messages you send. We'll take a look at all of these features to give you an idea of how to use VicTouch and what your volunteers can expect from it.

If you're still in your trial period or if it's part of your service level, you'll have unlimited access to VicTouch. If you have a paid account but didn't include VicTouch, you'll still have access to it on a trial basis. So you can continue to set it up and try it out, you'll just be limited in how many times you can sign in and out in a month.

Launching VicTouch

You should only launch VicTouch on a device that's controlled by your organization, but there are several options for how to launch it. Most use the native app for Android or Apple tablets, but it also works well on a desktop computer with a desktop shortcut. You can also display a QR code to allow volunteers to temporarily launch VicTouch, even without setting up a shared device. However you choose to launch it, it'll work the same.

Signing In and Out

As a volunteer, when I arrive for the day, I enter my PIN. This is the Number that appears on your volunteer records in Volgistics. After I confirm my name, I can sign in, choose the Assignment I'm there is serve in, and confirm my choices. Now I can go about with my shift. When I'm done for the day, I return to the VicTouch station and enter my PIN again to sign out.

To help engage with your volunteers, VicTouch can display greeting cards. These appear based on their birthday, their start date anniversary, or holidays that you define.

Who's Here

When volunteers sign in with VicTouch, they'll appear on the Who's Here page in Volgistics. This gives you a snapshot of who's on-site and what they're doing. You can also edit their times and Assignments here to make sure they're accurate.

Scheduling

Back in VicTouch, in addition to signing in and out, volunteers can view and manage their own schedules. Their scheduled shifts appear in the calendar view, making them easy to spot. If you have self-scheduling enabled, they'll also see these opening badges whenever there's an additional shift they can sign up for.

Remember from last time that volunteers will only be able to see an Assignment if they meet the criteria that you defined. This means that only qualified volunteers are able to schedule themselves, so you don't need to worry about reviewing the schedule to make sure everyone has the training they need.

Depending on your settings, volunteers can also remove themselves from scheduled shifts, and you can set up notifications if you need to know when that happens.

Service History

Lastly, volunteers can view their service history at VicTouch. This is initially summarized by year, but you can expand any year to see additional details. By default this will show only hours, but you can add any other service measures you track as well.
