Tracking

Find just the records you're looking for by using Volgistics' features to search and filter records based on age, type, location, service preferences and customizable flags. Save detailed information on each record including emergency contacts, parents and guardians, references, employers and even volunteer photos. Customizable fields are available to track items unique to your organization such as t-shirt sizes or age ranges.

Group Records

Group records are available to track information for groups that volunteer instead of individuals. These come in handy if you need to record the number of volunteers who helped at an event such as a park clean-up or a tree planting project, but you do not need the names and information for individual volunteers.

The group record feature can also be used if you have groups that send volunteers to help that you do not want to track individual volunteer information for, such as a Boy or Girl Scouts Troop or a 4-H Club. The record can hold the contact information for the group, and you can keep track of hours served and number of participants without keeping a detailed record for individuals.

Service Records

Volunteer records have a complete history of service given showing hours served along with the dates, times and assignments the hours were performed in. Our easy to use reports allow you to print detailed information by volunteer, or you can print summary reports to see how much service was performed in assignments or departments.

If volunteers are required to complete service hours for court, or school, related community service, Volgistics makes tracking these easy. Enter the number of hours required and the date service must be completed by, and then use Volgistics' powerful reporting features to find whether or not volunteers have completed the mandate. With the optional VicNet online access module, volunteers can even log-in to see a progress chart toward meeting the goal.

Online Volunteer Portal

Include the optional VicNet online access module and volunteers can access their individual account from any Internet connected computer. Volunteers sign-in to a secure portal to download forms, schedule assignments, update contact information, receive messages and review their service. And, they can even enter their own service hour information and have it automatically become part of their individual service history. This can be a real time saver for busy volunteer managers!

Text and Email

Volgistics helps you stay in touch with your volunteers with its built-in communication features. Quickly send email or text messages to one volunteer, selected groups of volunteers, or to all the volunteers in your active records. Our HTML email features allow you to include photos, font choices, tables, and other formatting to help you get your messages noticed! Daily or monthly automatic schedule reminder messages are available by text or email to help reduce no shows for assignments. Or, create address label reports for all popular label brands for postal mailings.

Recognition

Create and track volunteer awards to improve participation and morale. You create awards based on hours of service, years of service, or other performance measures. The awards can be setup to apply to just certain groups of volunteers such as youths, seniors, or even groups. Volgistics makes the job of tracking awards easier with reports and search functions designed to show who's eligible or who's received the award.

Multi-Site Access

Volgistics includes a Site Level Access feature designed for park divisions that oversee individual parks. Headquarters level operators have access to all volunteer records, assignments and reports, while Site Level Operators can only see information for the park location they are assigned to. This feature makes it easy for compliance items, awards, password security settings, field formats, and more to be standardized for the entire park system--but offers the advantage of a simplified interface for Site Level Operators that limits volunteer information from being shared between locations.
