Search Based on Assignment Role

This help topic explains how to define a Set rule based on whether or not a volunteer has a Role in a particular Assignment, or an Assignment at a specific Site or Place.

You create Set rules on the Set Definition page. If you're not already on the Set Definition page you can get there by choosing Sets from the menu, and then clicking the Create a new set button. To create a Set of volunteers based on the volunteers' assignments, select Their assignment from the Include volunteers in this set based on, or the Add another rule based on, dropdown list.

When a Set has a rule based on volunteer assignment, it looks at the Assignment box on the volunteer's Service tab to determine whether or not the volunteer has (or does not have) the assignment you specify.

You can also (optionally) specify that the volunteer must have a particular Role in the assignment (such as Assigned or Trainee), as well as if the From date or To date in the assignment falls in a particular time frame. Creating a rule that includes volunteers who do not have any assignments at all listed on their Service tab is also possible.

They are (are not) assigned to

Choose this option if you want your set to include all of the volunteers who have (or do not have) a Role in a specific Assignment, or any Assignment under a specific Site or Place.

Select are assigned to in order to include all of the volunteers who have a Role in a particular Assignment, Place, or Site. Select are not assigned to if you want to include only the volunteers who do not have a particular Assignment, or any Assignment at a particular Site or Place.

Use the dropdown list to select the Assignment, Site, or Place.

Examples

Here's an example of a rule that includes all of the volunteers who have an assignment called Gift Shop Helper:

Because there's no Role, From date, or To date specified, this set includes all volunteers who have the Gift Shop Helper assignment listed in the Assignments box on their Service tab--regardless of what their Role is in that Assignment.

In the example below, the rule calls for volunteers who have the Gift Shop Helper assignment, but only if their Role in the Gift Shop Helper assignment is either Assigned or Substitute.

Volunteers who do not have the Gift Shop Helper assignment, or whose Role in the Gift Shop Helper assignment is Former, Preference, or Trainee, will not appear in a Set that has this rule.
