Search Based on Age

This help topic explains how to define a Set rule based on the age recorded in the Age field or the date recorded in the Date of birth field on the Profile tab in the volunteer record. If an organization uses the Date of birth field to track volunteer date of birth, Volgistics automatically calculates a volunteer's age, based on the date entered in that field. If an organization does not use the Date of birth field, they can manually enter a volunteer's age in the Age field; however, this number will not be automatically updated by Volgistics since the system does not know the volunteer's date of birth.

You create Set rules on the Set Definition page. If you're not already on the Set Definition page you can get there by choosing Sets from the menu, and then clicking the Create a new set button.

To create a Set of volunteers based on age, select 'Their age' from the "Include volunteers in this set based on" drop down list.

The 'Their age' Set rule can find volunteers of an exact age; within a range of ages; with a date of birth before or after a specific date; with a date of birth within a range of dates, or with an incomplete Date of birth field entry.

The first option is useful when a report should include only volunteers of a specific age, only volunteers of a certain age and older, or only volunteers of a certain age and younger. For example, an organization might want to find out which volunteers are eligible to participate in their senior volunteer program. To capture volunteers who are 55 years old and older, define this Set rule like this:

If an organization needed to find their 'young adult' volunteers, they would use this Set rule's second option to capture volunteers between the ages of 18 and 25. It would look like this:

The third option is very similar to the first; however, the first option can find volunteers without any information in the Date of birth field (as long as they have manually entered an accurate number in the Age field). Ultimately, an identical group of volunteers could be pulled by using either of these options. Choosing to define a 'Their age' Set rule by the first or third option is simply a matter of data availability and convenience. The Set pulls information for rules defined with this option from the Date of birth field rather than the Age field on the Profile tab.

With the goal of finding all volunteers born after January 1, 1990, setup the 'Their age' Set rule like this:

Just as options one and three are similar; option four can ultimately be setup to pull many or all of the same volunteers as option two. A 'Their age' Set rule configured to find volunteers born between January 1, 1950 and December 31, 1960 would like this:

Finally, the 'Their age' Set rule can capture all volunteers with an incomplete Date of birth in their record, like this:
