Add a New System Operator

Creating and Maintaining System Operator Records

Your account's System Operators are the people you authorize to use Volgistics. Operators access the system at www.volgistics.com.

You must be a Volgistics Administrator (or have access to Setup on the menu) to add new System Operators. The number of System Operators you can have is limited by your account's Service Level.

To add a new System Operator:

  1. Choose Setup from the menu.
  2. Select System Operators.
  3. Click Create a New Operator.
  4. Enter the information for the operator. It is also a good practice to check the box to require new operators to set a different password the first time they login. You can set password strength rules to prevent operators from picking an easy to guess password on the System Operator Ground Rules page.
  5. Set the permissions for the operator. System Operator Settings and How to Limit Operator Rights or Access explain more about how these options work. Caution: You should only assign the Operator to a Site (or multiple Sites) if you use the Site Level Access feature.
  6. Click the Save button when you're done setting up the operator.

Protect Your Account with Strong Passwords!

Volgistics takes the security of your data very seriously and follows industry best practices to make sure the system is safe. However, industry experts agree that the greatest threat to security is often the human factor presented by using easy-to-guess passwords. You can help prevent this by having Operators use passwords that meet these standards:

  1. Are not simply a word (or string of words) found in the dictionary.
  2. Contain upper and lower case letters.
  3. Contain numbers as well as letters.
  4. Contain symbols (such as $, &, or *) as well as letters.
  5. Are adequately long. Many feel that passwords should be 14 characters or longer to be secure.
  6. Are unique to Volgistics. You should not use the password you create for accessing Volgistics at any other website.

You can set password strength requirements on the System Operator Ground Rules page. For even greater security, you can turn on two-factor authentication so a single-use code is required after the password to log in to the account. Let the new person know the account number, plus the email address and password you entered, so they can login to the Volgistics account. If the new operator has trouble accessing the account, double check that the email address and password being entered match the email address and password on their record exactly.

System Operators Versus Coordinators

Your organization may refer to your volunteer leaders or managers as Coordinators. This can sometimes cause confusion because in addition to System Operators Volgistics has another type of record called a Coordinator. Coordinator records are also used to manage volunteers, but they do not have the same abilities as System Operators. You can learn more about Coordinator records in Coordinator Overview.
