Address Labels Options Tab

The Options page appears when you create a new report or modify an existing report. Use the controls on this Options page to customize the structure of an Address Labels report.

Create address labels for

Choose the kind of records you want to create address labels for. For example, choose Volunteers if you want to create mailing labels for volunteers, or Coordinators if you want to create labels for Coordinators (you specify which volunteers or coordinators later on the Include window).

You can choose more than one kind of record for your address labels. If you want to send the same mailing to both volunteers and coordinators, for example, you can simply check both Volunteers and Coordinators. Your report will then include address labels for both volunteers and coordinators.

If you track different kinds of Contacts for volunteers, these are listed here also. For example, if you track Emergency Contacts or References on the Contact tab for your volunteers, you can optionally choose to create address labels for these kinds of contacts. If you choose to create labels for References as an example, your label sheets would include address labels for the References of all of the volunteers you select on the Include window for this report. The Include window appears later in the report setup process.

Sort labels by

Choose Last Name if you want your address labels sorted by last name. If you're preparing a bulk mailing you can choose to sort your labels by zip or post code. This makes it easier to organize the mailing according to the postal standards for bulk mail.

Other options

Include Postnet bar codes

Choose Include Postnet bar codes for mail sent in the US if you want these address labels to include the bar codes used by US Postal Service for automated sorting. Volgistics generates these bar codes from the recipient's zip code. They are included at the top of each address label. To allow space on your labels for the bar code and the address, consider using labels that are more than one inch high if you include Postnet bar codes.

Use all uppercase

Selecting this option will force all text on the address label to uppercase. Address information appears the way it was entered in Volgistics (upper or lower case) when this option is not selected. Postal standards for some classes of bulk mail require all uppercase lettering.

Omit labels if the zip or post code is missing

If any of the records in your database are missing zip or post codes, the address labels for those records will not have a zip or post code. Selecting this option causes the report to skip any addresses that do not contain an entry in the zip or post code fields. This is useful if you are preparing a bulk mailing for which the postal service will not deliver pieces with missing zip or post codes. Note that you can eliminate the possibility of missing zip or post codes by making the zip or post code field required.

List count and date on the first label

Select this option if you want the report to show the number of labels created. The first label will be used to show the label count, as well as the date and time the labels were created.

Include lines along the edge of labels

Choose this option if you want the report to include a line around the edge of each label. Use this option if you're printing to plain paper to check label alignment before printing on your actual label sheets.

When you're finished choosing the Options for your report, click Next to continue to the next step.
