Combine Checklist Items

Use the Checklist item setup page to combine one Checklist item you track in Volgistics with another Checklist item. If you're not already on the Checklist item setup page you can get there with these steps:

  1. Choose Setup from the menu.
  2. Expand Checklist Items.
  3. Click the name of the Checklist item you want to combine with another item.

Combining Checklist items is appropriate when you find that your account uses two items to track the same volunteer requirement. This can happen when system operators inadvertently create more than one Checklist item to track the same thing. In this case, even though they have all completed the same task, some volunteers may have Checklist dates for one item, while others may have Checklist dates for another Checklist item. Combining items allows you to remedy this situation.

To combine items, scroll to the Combine section of the Checklist item setup page. Find the Combine this item with dropdown field, and select the item with which this item should be combined. Then click the Combine button. A warning stating that this Checklist item will be combined with the other item will appear. Click the OK button to proceed with combining the items.

Nothing Happens!

If nothing happens when you click Combine, you may have asked your browser to stop displaying alert dialogs. When the dialog isn't displayed, you can't provide a positive response, and Volgistics won't be able to complete the action. Fortunately, this choice only remains in effect for the current browsing session, so you can reset it by simply closing your browser and re-opening it.

What happens when you combine Checklist Items?

When you are on the Checklist item setup page for item "A" and you choose to combine it with item "B," Item "A" will be removed from the system. It will no longer appear on the list of Checklist items that is displayed when you choose Setup from the main menu and then expand Checklist Items; it will not appear on the Checklist page, and it will not appear in the Checklist box on volunteers' History tabs. In addition, any volunteers who had a date on their History tab for Checklist item "A" will now have this Checklist date for item "B" instead.

The setup for item "B" will remain the same, so any volunteers who were due to complete item "B" will still see item "B" listed on their Checklist.

Note that the system does not perform any check to determine whether the rules for Checklist item "A" are the same as those for item "B" (and the rules are not merged in any way), so the rules for item "B" will prevail when the Checklist items are combined.
