Auditing Vic Service Entries If you use the Volunteer Information Center to collect volunteer time sheets, you can optionally monitor - or audit - all of the service entries made by volunteers or coordinators online. If necessary, you can adjust or delete a service entry. When auditing is turned-on for Vic time sheets, service entries made through Vic time sheets appear in volunteer records as usual, however they also appear on a special ‘Service’ tab in your Volgistics mailbox, where you may review the entries which have been posted. To turn-on auditing for Vic time sheet entries: 1. Choose Setup from the menu. 2. Click the “Service tracking” link. 3. Click the “Auditing” link. 4. In the “Auditing” box, check “Those entered through VicNet” if you want to audit service entries made through the VicNet time sheet. Check “Those entered through VicTouch” if you want to audit service entries made through VicNet. 5. Click the Save button. Any new service entries posted after you turn-on auditing will appear in the Volgistics mailbox. If you choose to audit service entries, you should check your Volgistics mailbox for new entries periodically, and before you print any month or year-end service reports. To audit new service entries: 1. Choose Mailbox from the menu. 2. Click the “Service” tab. Any new service entries that require auditing will appear here. These entries also appear as usual on the Service tab for the volunteers for whom they were entered. If you would like to delete any of the entries that appear on the Service tab, click the “Delete” link in the right column for the entry you want to delete. To edit any of the service entries that appear here you must visit the volunteer’s record and enter the entry on their Service tab. You can change the sort order of the service entries awaiting audit by clicking the Volunteer, Date, Assignment, or Hours links at the top of each column. Sorting by hours makes it easy to locate any entries that have very large hour values. 3. To ‘approve’ entries that appear on this tab, place a check mark next to the entry (to approve all of the entries on the tab, click the Check all button), and then click the Audited button. |
