Help topic:  Volunteer photos

You can optionally store a photo of each volunteer in their volunteer record. You can upload volunteer photos yourself, and you can optionally allow volunteers and/or coordinators to upload their own photos through VicNet.

Volunteer photos appear on the Profile tab in each volunteer record if the Photo field is not hidden.



If you do not see volunteer photos when you view the Profile tab, photos are hidden for your system operator level, or the Photo field is hidden in your account. If you have access to the Setup page you can un-hide the photo field like this:

1. Choose Setup from the menu.

2. Select Field Options.

3. Select Profile tab (for volunteers).

4. Select Photo.

5. Change the Hidden drop-down to No.

6. Click the Save button.


Uploading photos

You can upload volunteer photos from your computer or a memory card or digital camera you have attached to your computer. To upload a volunteer photo:

1. Choose Volunteers from the menu; locate the volunteer's record and then select the Profile tab.

2. Click the Upload link.



3. Click the Browse button and then select the photo file you want to upload. You can upload any image file in the ".gif," ".jpg," ".jpeg," or ".png" format, that is smaller than 10 megabytes (10,000K).

4. Once you've selected the photo file you want to upload click the Upload button. Depending on the size of the file you select, the upload may take a minute or more to complete. The 'Working…' message will go away once the file has been uploaded.

5. Crop the image. For consistency, Volgistics stores volunteer photos as square images. If the image you upload is rectangular, drag or resize the crop tool so it covers the portion of the image that includes the volunteer's face, as shown here:




6. Click the Submit button. The uploaded image will now appear in the volunteer's record.


Remove a photo

You can remove photos previously stored in a volunteer's record. When you remove a photo, the copy of the photo stored in the Volgistics system is deleted permanently. To remove a photo from a volunteer's record:

1. Choose Volunteers from the menu; locate the volunteer's record and then select the Profile tab.

2. Click the Clear link beneath the photo.

3. Click the OK button to confirm that it is okay to clear the photo.


Collecting volunteer photos through VicNet

If you use the VicNet module you can give volunteers a way to view, and optionally upload or maintain their own photo. You can also allow coordinators to view and optionally upload photos of their volunteers.

To enable photos in VicNet for volunteers:

1. Choose Setup from the menu.

2. Select VicNet.

3. Select Profile tab (for volunteers).

4. Click the "Sections" link and then add a new "My Profile" tab section heading called Photo (or whatever you would like the section heading for the photo to be). You can optionally add any instructions you want volunteers to see in this section as well.

5. Click the Save button to save the new form section.

6. From the "VIC My Profile Tab" page click the "Photos" link.

7. Using the Form Section drop-down, select the form section you just created. Also choose if volunteers should be allowed to upload or clear their photos.

8. Click the Save button.

If you enable photos at VicNet, volunteers will see their photo on the "My Profile" tab. If you allow volunteers to upload their own photos, they upload photos using the same upload procedure explained above.


To enable photos in VicNet for Coordinators:

1. Choose Setup from the menu.

2. Select VicNet.

3. Select Volunteers tab (for coordinators).

4. Click the "Sections" link and then add a new "My Profile" tab section heading called Photo (or whatever you would like the section heading for the photo to be). You can optionally add any instructions you want Coordinators to see in this section as well.

5. Click the Save button to save the new form section.

6. From the "VIC Volunteers Tab" page click the "Photos" link.

7. Using the Form Section drop-down, select the form section you just created. Also choose if Coordinators should be allowed to upload or clear volunteer photos.

8. Click the Save button.

If you enable photos at VicNet for Coordinators, Coordinators will see volunteer photos on the "Volunteers" tab after they click on a volunteer's name. If you allow Coordinators to upload volunteer photos, they upload photos using the same upload procedure explained above.
