Sites, Places, and Assignments
We create Site, Place, and Assignment records in your Volgistics
database to match the assignment information in your old database. When you
click the "Assignments" link on the Volgistics menu, you'll see the Assignments
from your old database (if it included any).
These Assignment records
will include an Assignment name, and the Volunteers tab will list all of the
volunteers who have the assignment.
After the conversion is complete,
you can add additional Assignment information, additional assignments, and
optionally re-organize the way Assignments appear under Sites and Places.
Checklist
If your old database contains medical test
dates, background check dates, certification dates, or life safety training
dates; we create Checklist items in your Volgistics account for each of these,
however we do not setup the criteria that specifies which volunteers must
complete these items, or if they expire. This is something that's easy for you
to do after the conversion is complete.
Awards
If your
old database contains award records, we create corresponding Awards in your
Volgistics account, however we do not setup the criteria that specifies when
these awards are presented or which volunteers are eligible for them. This is
something that's easy for you to do after the conversion is complete. |
| What if our current database has more than the key volunteer
information? |
| Under the
Jump-Start Service we create a volunteer record in Volgistics for each
volunteer listed in your old database, and insert the key volunteer information
into them. Once we're finished with this you can add any additional information
to these volunteer records you'd like. If there are additional pieces of
information you want to capture from your old database you can add them to the
converted records once we're finished. |
| Volgistics has a
variety of tools that make it easy to add information to many volunteer records
at once. For example, you can insert "Flag," "Type," and "History records"
en-mass using Tags. |
| What if our current database does not have all of
the key fields? |
| This is OK. We
simply won't transfer any of the key volunteer information that your current
database does not contain. You can always add this information to your
volunteer records in Volgistics once we finish the transfer. |
| Can we substitute other fields? |
| The tools we use
to provide the Jump-Start Service are set to convert the key volunteer
information listed above. We cannot transfer fields other than those listed. If
your old database contains additional fields, you can add-in this additional
information after the conversion is complete. |
| Does it matter how many volunteer records our
current database has? |
| It doesn't affect
the Jump-Start service fee; however your Volgistics account's service level
must provide enough space for the number of volunteer records you want us to
convert from your old system. For example, if your old database contains 900
volunteer records, the Volgistics service level you choose for your account
must provide space for at least 900 volunteers. |
| What if we want to organize our assignments
differently in Volgistics? |
| During the
transfer we create "Site," "Place," and "Assignment" records in your Volgistics
account to match the assignment information in your old database (if it
contains any). Once we have transferred your key volunteer information and you
have checked the conversion for completeness you can easily add-to or
re-organize your table of Sites, Places, and Assignments in Volgistics. When
you re-organize this table, all of the assignment and service records converted
from your old system will 'follow' your assignments as you re-organize them in
Volgistics. |
