| The service fee for the
Jump-Start Service is $500. This fee covers
the cost of mapping the fields of information in your old database, converting
the key volunteer information from your old database into your Volgistics
account, and verifying the converted data for completeness. The number of
individual volunteer records in your existing database does not affect the
service fee. |
| There are additional service
fees if you would like to consolidate multiple volunteer databases into a
single Volgistics account, or if you want to re-run a completed conversion
using a new set of data files from your old system. |
| Most organizations use the
Jump-Start Service to convert key volunteer information from a single database,
however some organizations consolidate multiple volunteer databases into a
single Volgistics account. If your organizations has multiple databases from
which you want to transfer key volunteer information, there is an additional
$100 fee for each different database that has exactly the same file and
record structure as the first database, and an additional $500 fee per
database if the file or record structures are different. |
| If you'd like us to re-run the
conversion of your key volunteer data anytime after the original conversion was
run, using a new copy of the information from your old database system, a
$250 re-run fee applies if the new data you provide has the exact same
file and record structure as the original data. If the new data you send has a
different file or record structure we consider it a new Jump-Start Service
request and the standard $500 service fee applies. |
| We perform the conversion of
your key volunteer information as soon as you
complete your Jump-Start Service order by making the service fee payment. You
pay the Jump-Start Service fee at the secure Volgistics Store by credit card or
online check. Sorry, we cannot process purchase orders as payment for the
Jump-Start Service. |
| Multiple databases |
| Most organizations convert from a
single database, however those with multiple sites or volunteer programs may
wish to convert separate databases from each site or program into a single
Volgistics account. In these cases additional Jump-Start charges apply. |
| If you have multiple volunteer
databases with exactly the same file and record structures, we can develop a
single Jump-Start mapping that we will use for all of your databases. However
we must still convert and verify each database individually. For this reason an
additional fee of $100 per additional database applies. For example, if you
have two databases with exactly the same record and file structure, the
Jump-Start fee would be $600. Five hundred dollars for the first database and
$100 for the additional database. |
| If you have multiple volunteer
databases with different file and record structures we must develop a unique
Jump-Start program for each database, and perform separate mappings,
conversions, and verifications on each. Therefore the $500 Jump-Start fee
applies to each separate database. For example, if you have two databases with
different file and record structures, the Jump-Start fee would be $1,000. Five
hundred dollars for each of the two databases. |
| How do I know if I have
multiple databases? |
| When you initially send your data
for assessment, we will let you know if you have multiple databases and exactly
what the Jump-Start fee will be before you pay anything. |
| This is how we
determine if you have multiple databases: |
| We consider a single database one
in which all of the data is stored in a single table (a flat file), or one in
which there are multiple files (a relational database) as long as: |
- Volunteer names are stored in a single parent
data file
- If there are multiple child tables with the
same kind of information (such as hours records), they all have the same record
structure.

| Examples of single databases |
- Spread sheet or delimited text files with all of the
volunteer data stored on one table in a single file.
- Relational databases that have a single 'parent' table
that includes volunteer names, and one or more 'child' tables, as long as all
of the 'child' tables of the same kind have the same record structure (e.g. as
long as all of the child 'hours' tables are structured the same way). By
definition, relational databases must have a key value in both the 'parent' and
'child' tables that forms the link between the parent record and its child
records.

| Examples of multiple
databases: |
- Multiple spread sheet or delimited text files that each
contain data for different volunteers.
- Relational databases that have more than one 'parent'
table containing different volunteers or multiple 'child' tables with different
record structures for the same kind of data (e.g. two or more 'hours' tables
with different record structures).

| What if all of my databases
were created in the same program? |
| The additional service fees
apply for multiple databases, even if they were all created using the same
program. For example, two volunteer databases created with Microsoft Access
still represent two databases. They may or may not have the same record
structures, depending on how they were created and maintained. |
| If I have multiple databases,
must I convert them all at the same time? |
| Yes. Since we may need to make
customizations to your Volgistics database to accommodate your old data, we
must transfer information from all of the different databases you would like to
Jump-Start at the same time. |
| Re-runs |
| Organizations occasionally choose
to have us repeat the Jump-Start Service. |
| Some organizations choose to run
two conversions: the first to see what their key volunteer information will
look like in Volgistics while they continue to use their old program; and then
a second conversion once they are ready to switch over from their old
system. |
| Other organizations sometimes
find that they want to re-run the conversion using a different or more recent
set of data files after their original conversion is complete. |
| In these cases an additional
re-run fee applies. |
| If you'd like us to re-run the
conversion of your key volunteer information
anytime after the original conversion was run, using a new copy of the
information from your old database sytem, a $250 re-run fee applies if the new
data you provide has the exact same file and record structure as the original
data. If the new data you send has a different file or record structure we
consider it a new Jump-Start Service request and the standard $500 service fee
applies. |
| IMPORTANT: If you want to
re-run the conversion of your key volunteer data, do not start entering or
changing information; or customizing your Volgistics account. Any information
or customizations you've already made to your Volgistics account must be
cleared before we can re-run the conversion. We cannot perform the Jump-Start
Service on accounts that already contain data you want to keep. |
